How to Back Up and Restore Your PC Contact and Calendar Data

With any automated process touching your data, it is Always best to back up the database\data first. With any of these back up steps it is also good to add a Time and Date to the back up file names when you create them.

How to Back Up an Act! (Desktop) v6-v25 Database:

  1. Open Act!.
  2. Select File in the top left, select Back Up and choose Database.
  3. Select a Folder for the backup and click Ok.

How to Back Up Outlook Data (Outlook 2007-Outlook 2022):

  1. Open Outlook and in the top select File.
  2. Select Open & Export and click Import/Export.
  3. Select Export to a file.
  4. Select Outlook Data File (.pst) and click Next. You can Export to a CSV, but a PST is better.
  5. Select the Folder of the Data Type you are about to Deduplicate (IE Contacts, Calendar, Tasks, Etc), then click Next.
  6. Set a File Name for the Backup and click Finish. You can add a Password to the Backup after selecting Finish.
  • Note: Repeat these steps for each data type you want to back up. You can select the entire data file, but this can be a very large file.

How to Back Up Palm Desktop (v4.1.4 and v6.2) Data:

  1. Open Palm Desktop.
  2. Select the View menu and make sure that "Show Private Records" is selected.
  3. Open the Data Type you want to export (IE. Address Book, Datebook, Memos, etc), click File in the top left and select Export.
  4. Make sure that the all records option is selected if available, select a Location for your Export and click Export.
  • Note: You will need repeat these steps for data type in Palm Desktop that you wish to backup.

How to Back Up DejaOffice PC CRM Database:

  1. Open DejaOffice PC CRM
  2. Click Settings in the bottom left
  3. Select Database Settings and click the Back Up button.

How to Back Up GoldMine Data:

  1. Open GoldMine and Select File in the Top left and choose Back-up Databases.
  2. Select Create a New Back-up profile, unless there is one already saved that you want to re-use and Click Next.
  3. Select the Contact Sets you wish to backup. If you are not sure which contact set to select, select the one noted in the System window mentioned above. Also, be sure to leave the Backup-up Goldmine files (GMBase) option selected. It is recommended you also leave the Back-up Setup Files (Net-Update and BDEShare) option checked.
  4. Click Next.
  5. Select the additional directories you wish to backup. These are the directories that Goldmine uses to store file attachments from e-mail, reports, MS Word templates that are used by the Mail merge function, and any documents that have been linked to your Goldmine database. These typically reside in the GoldMine root directory indicated for System Files in the System window mentioned at the beginning of this document.
  6. Click Next.
  7. Confirm your selections and then click Next.
  8. Enter or select a destination for the backup.
  9. If you want to save this Backup Profile for re-use, enter a Profile name, click Next, then click Finish to start the backup.
  • Note: All users must be logged out of Goldmine in order to backup the database.

How to Back Up Google Data:

Contacts:

  1. Open your Google Contacts. Sign into Google if prompted.
  2. In the bottom left select Export.
  3. Select the Contacts List you want to Export, select "Google CSV" and click Export.
  4. Select a File Location for the Export and Click Save.


Calendar:

  1. Open your Google Calendar. Sign into Google if prompted.
  2. Hover over the Calendar on the left under "My Calendars" that you want to Export, select the 3 dots and choose Settings and Sharing.
  3. Click Export Calendar, Select a File Location for the Export and Click Save.



How to Back Up iCloud Data:

Contacts:

  1. Open your iCloud Contacts. Sign into iCloud if prompted.
  2. In the bottom left select Contacts.
  3. Select the Gear in the bottom left, click Select All, click the Gear again and choose "Export vCard".
  4. Select a File Location for the Export and Click Save.


Calendar:

  1. Open your iCloud Calendar. Sign into iCloud if prompted.
  2. On the left click the Signal Icon next to the Calendar you want to Export.
  3. Select "Public Calendar" and choose "Copy Link".
  4. Paste the link in your Web Browser replacing "webcal" with "https".
  5. Select a File Location for the Export and Click Save.



How to Back Up Zoho Data:

  1. Open Zoho, select Settings, choose Data Administration and Data Backup.
  2. Select "Backup Now" to do an instant backup.
  3. Once Back Up is done, a link will be sent to your mail ID, and the data can be downloaded from there.
  • Note: The link will expire within 7 days.


How to Back Up monday.com Data:

  1. Log in to your monday.com Account.
  2. In the Bottom left click your Profile Picture (or initials) and choose Admin.
  3. Select "General" from the left panel menu and then select the "Account" tab at the top.
  4. Under "Export account data", click "Export".
  5. Once Back Up is done, a link will be sent to your email with a Zip file you can download.
