How to Use DejaOffice PC CRM for Email and MS Word Marketing

Emailing Contacts from DejaOffice PC CRM

Email a Single Contact:

  1. To send an email to any single contact in DejaOffice PC CRM simply select the Email Address in the DPC Contact Detail View Panel or Right Click Contact in the DPC Contacts list and click "Email Selected Contacts".


Email Multiple Contacts:

  1. To send an email to multiple contacts that appear one after another in DejaOffice PC CRM in the DPC Contact list, select the first contact you email, hold Shift and click the final contact you want to email. Then Right Click one of the selected contacts and choose "Email Selected Contacts".
  2. To send an email to multiple contacts that are in different places in the DPC Contact list, select the first contact you email, hold Ctrl and select each contact you want to email. Then Right Click one of the selected contacts and choose "Email Selected Contacts".


  • Note: Using Category or Lookup Filters can make emailing a group much easier. (See our guide for Creating Query Lookup Filters).
  • Note: If a single contact is selected the email will default "To" this person. If multiple contacts are selected all emails will appear as "BCC".


Using Email Templates

To use Email Templates for Email Marketing you will first need to create an Email Template.

  1. Check the following guide to Create Email Templates.


Using an Email Template for a Single Contact:

  1. Open the DejaOffice PC CRM Contacts.
  2. In the Contact Detail Panel for the selected contact, click the Email Icon next to the Email Address.
  3. Select the Email Template you want to use.
  4. Your email client will open with Email and body populated with the information from DejaOffice PC CRM.


Using an Email Template with Multiple Contacts:

  1. Open the DejaOffice PC CRM Contacts.
  2. From the contacts list hold CTRL on the keyboard and select the Contacts you want to email. Right click one of the Selected Contacts and choose Email Selected Contacts.
  3. Select the Email Template and click Ok.
  4. Your email client will open with Email and body populated with the information from DejaOffice PC CRM.


Using an Email Template with a Category Filter:

  1. Open the DejaOffice PC CRM Contacts.
  2. Select the Category Filter Icon from the Tool bar and select the Category you want to Email.
  3. From the contacts list hold CTRL and Press A on the keyboard to select all Contacts in this Filter. Right click one of the Selected Contacts and choose Email Selected Contacts.
  4. Select the Email Template and click Ok.
  5. Your email client will open with Email and body populated with the information from DejaOffice PC CRM.


Using an Email Template with an Advanced Query Filter:

  1. Open the DejaOffice PC CRM Contacts.
  2. Select the Category Filter Icon, choose the Queries option in the bottom left. Check here for our guide to Creating Contact Queries
  3. From the contacts list hold CTRL and Press A on the keyboard to select all Contacts in this Query Filter. Right click one of the Selected Contacts and choose Email Selected Contacts.
  4. Select the Email Template and click Ok.
  5. Your email client will open with Email and body populated with the information from DejaOffice PC CRM.



Adding Outlook Email History to DejaOffice PC CRM Contacts for Email Tracking

With DejaOffice PC CRM you can set Outlook Emails to sync to the History section of DPC linked directly to the Contact the email was to\from. This can be very helpful in tracking emails for marketing purposes. This can be accomplished in one of to ways:

Manually adding Emails to History via the Outlook Addin:

Using the DejaOffice PC CRM Outlook Addin you can drag emails directly into Event, Tasks or History records. Please see our DejaOffice PC CRM Outlook Add-in Guide.

Syncing Outlook Emails to DejaOffice PC CRM Contact History

Using the DejaOffice PC CRM Sync, you can automatically have Inbox\Outbox emails synced to DPC Contact Histories. Please see our Sync Outlook Emails to DejaOffice PC CRM Contact History.

Using Document Templates for MS-Word Marketing

To use Word Document Template for Email Marketing you will first need to create a Document Template.

Use a Word Document Template:

Using a Word Document Template for a Single Contact

  1. Open the DejaOffice PC CRM Contacts.
  2. In the Contact Detail Panel for the selected contact, click the Document Icon in the top right of the Contact Name.
  3. Select the Document Template and click Ok.
  4. Word will open. Select "Preview Results" to see the Fields from PC CRM Populated.
  5. Select "Finish & Merge" and choose Email or Print from the Word Tool bar to Print or Email your Document.
  • Note: You can also preview the document with the populated fields by selecting "Preview Results" from the Word Toolbar.

Using a Word Document Template with Multiple Contacts

  1. Open the DejaOffice PC CRM Contacts.

Print Contact Labels using Avery Label

DejaOffice PC CRM Contact printing offers Contact label printing for 30 Contacts Per Page using the Avery Label #5160.

Print Contacts Labels from Multiple Contacts

  1. Open the DejaOffice PC CRM Contacts.
  2. From the contacts list hold CTRL on the keyboard and select the Contacts you want use.
  3. Select the Print Icon in the DPC Tool Bar.
  4. Next to "Reports" click the Drop down and choose "Labels 30 Per Page" and select Print.

  1. Open the DejaOffice PC CRM Contacts.
  2. Select the Category Filter Icon from the Tool bar and select the Category you want to use.
  3. From the contacts list hold CTRL and Press A on the keyboard to select all Contacts in this Filter.

Print Contacts Labels from an Advanced Query Filter

  1. Open the DejaOffice PC CRM Contacts.

Using External Marketing Programs

To use DejaOffice PC CRM with other external Marketing programs such as Mail Chimp, Constant Contact, Sendinblue, you can Export the the PC CRM contacts to a CSV file to import into one of these other programs.
