Improvements to Private Records
DejaOffice PC CRM v2 has introduced new options to allow all records assigned to a Specific Category to automatically be made Private and make records linked to private contacts private. There is also a new feature to update an existing category add the Private flag to all records within the category.
Add a Private Record Category
To add a new Category in which all records assigned to that category are automatically marked Private:
- Open DejaOffice PC CRM.
- Select Categories on the left menu.
- At the top click the + to add a new Category.
- Add a Category Name and check the box for "Mark New Records as Private" and Save.
All new records added to this category will automatically be marked as Private.
Update an Existing Category to Add Private Flag
To Update an existing category and mark all records in this category as Private:
- Open DejaOffice PC CRM.
- Select Categories on the left menu.
- Right Click an existing Category and choose Edit.
- Check the box for "Mark New Records as Private" and click the button to "Mark Existing Records Private".
All existing records in this category will be marked as private. New Records added to this category will also automatically be marked Private as well. Clicking this option again will unmark all records in a category as private.
Private Linked Contacts
If a Contact is marked private and you link this contact to an event, task, or history record, you will be prompted to also make the new event, task, history private.
- Open DejaOffice PC CRM.
- Select Calendar, Tasks, History, etc.
- Create a new Record and in the Edit, select Add Contact.
- Select the Linked Contact that is already marked Private.
You will be prompted to make this new Event, Task, History, etc private. You can let the prompt occur every time, or select the "Do not prompt again" to automatically make records linked to private contacts private.
