How to archive old events

Outlook 2003/2007:

  1. In Outlook, go to the File menu and click Archive.
  2. Click Archive this folder and all subfolders.
  3. In the folder list, select the Calendar folder that you are syncing with.
  4. In the Archive items older than list, select the date that you want. To archive everything, select a date in the future.
  5. Select the file location under "Archive File:".
  6. Click OK.


Outlook 2010:

  1. In Outlook, click File -> Info.
  2. In the Mailbox Cleanup section, click Cleanup Tools, then click Archive.
  3. Click Archive this folder and all subfolders.
  4. In the folder list, select the Calendar folder that you are syncing with.
  5. In the Archive items older than list, select the date that you want. To archive everything, select a date in the future.
  6. Select the file location under "Archive File:".
  7. Click OK.


ACT! 2005 - 2011:

  1. Back up the database.
  2. From the Tools menu, point to Database Maintenance. Click Remove Old Data.
  3. Select the data and set the age of the data to be removed based on today's date. Click OK.
  4. Read the caution message; to proceed with data removal, click Yes. To cancel, click Cancel.
  5. At the completion message, click Yes to re-index; otherwise, click No.
  6. If you selected to re-index the database, at the prompt, click OK.

You can purge records in Date Book and To Do List. Purging removes records that meet specified criteria. You can purge events that occurred more than one week, two weeks, three weeks, and one month ago and To Do List items that are complete. If you purge records without saving them in an archive file, the records are permanently removed.

Records that you purge are deleted from your handheld the next time you perform a HotSync® operation. If you choose to archive purged records, the records are added to an archive file on the desktop the next time you perform a HotSync operation.

To purge an event or To Do List item

  1. From To Do List, choose Purge Completed To Do's from the Tools menu.
    From Date Book, choose Purge Events from the Tools menu. For events, you can click the Delete Events Older Than selector and select a time. The default is one week.
  2. Select the Archive check box to save purged records in an archive file.
  3. Click the OK button.
