General: How to count the number of records

Symptoms:

Purpose & Scope

This lists the ways to count the number of records in various places.


Fix:

Palm OS Handhelds


Go to the programs screen.

Tap the upper lefthand corner.

A previously hidden dropdown menu should open.

Tap on Info.

Tap on Records. The number of records in each area of the handheld will be displayed.


Palm Desktop

The number of records for Contacts, Tasks, and Memos is displayed in the bottom right-hand corner of the screen.

There is currently no way to show the number of calendar records in Palm Desktop.


BlackBerry Handhelds

Connect your handheld.

Open BlackBerry Desktop Manager.

Go to Backup and Restore > Advanced.

The number of records in each area of the handheld will be displayed in the right-hand pane.


Windows Mobile/Pocket PC Handhelds

Note: This is not guaranteed to work.

Make sure ActiveSync is installed, and that the handheld is connected and synchronized.

In ActiveSync, click the Explore button.

Double-click on My Windows Mobile-Based Device.

Double-click on Databases.

Double-click on CpAppointments, CpContacts, or CpTask to view the record counts for the Calendar, Contacts, and Tasks applications on the handheld.

ACT! (any version)

In the Contacts or Contact List view, there's a box in the upper left-hand corner that displays # of Total.

For activities and tasks, go to the Task List view. Change Dates To Show to All Dates. The screen will display the total number of each activity type at the bottom of the screen.

The only way to get the number of memos is to go to the MyRecord contact, click on the Notes tab, and manually count how many notes there are.


GoldMine

Go to the Summary tab of a contact record to get the count of contact records.

The only way to get the number of memos is to open Infocenter and manually count the number of books/files/pages with an asterisk (*) in the name.

There is currently no way, short of using a SQL query, to count calendar and task items.


Time & Chaos/Intellect

The Contacts and Memos windows show the count in the titlebar.

There is no easy way of counting calendar and task items. There is only a count of the selected day's calendar items/tasks.


Microsoft Outlook

The Contacts, Notes, and Tasks views display the total number of items in the bottom left-hand corner of the screens.

There is currently no way to count calendar items.


Outlook Express

Go to Tools > Address Book.

The count of contacts is in the bottom left-hand corner of the new screen.


Google Calendar

The only way so far is to export the calendar to iCal format, open the file in Notepad, and count the number of times 'BEGIN:VEVENT' occurs. This will not take into account repeating events - only the base record is displayed, with the repeat information listed as a line within the event.


Lotus Notes

To count the number of contacts, go to Edit > Select All.

The count will be displayed in the bottom left-hand corner.
