Palm Desktop

User ID Tab

  1. User Name: In this drop down select your current Palm Desktop User name.


General Tab

  1. Personal Category: This option enables the syncing of items in the Personal category. If you do not want data categorized in the Personal Category to sync, you can uncheck this option.
  2. Startup: This option allows the DejaOffice PC CRM sync to run at the computer start.
  3. Completed Tasks: Enabling this option syncs Completed Tasks to\from the Android to DejaOffice PC CRM.


Calendar Tab

  1. Synchronize Alarms: Enable this option to sync Alarms to\from Palm Desktop and DejaOffice PC CRM.
  2. Date Range: This option allows you to set a date range for previous calendar days. By default this will be set to 90 days, to sync older calendar entries, adjust this to a higher number of days.


Phone Format Tab

  1. Use US Formatting: This option will format phone number using US Format. (e.g. (503) 243-5200)
  2. Automatically Include Extensions: This option will include extension numbers, behind the phone number, separated by "symbol to use for extension". (e.g. (503) 243-5200;340)
  3. Clear Leading Zero: This option will delete the leading 0 from any phone number.
  4. Sync All Country Codes: This option will sync all country codes with phone numbers. With the option OFF the sync will sync all country codes except the local country code.
  5. Extension Symbol: This option lets you set what symbol is used for extensions. Note: The correct symbol has to be used for specific phones to be able to dial extensions (e.g. iPhone and Android uses ; (simicolon))
  6. Local Country Code: This should be set to the local country code. (e.g. US =1; UK = 44)


Applications Tab

  1. Data Types to Sync - This option allows you to select which data types to synchronize. (i.e. contacts, calendar, task, notes, journals)
  2. Sync Directions - This option allows you to set the sync direction. (i.e. DejaOffice PC CRM to Palm Desktop; Palm Desktop to DejaOffice PC CRM; Sync both ways)
  3. Wipe Options - This option will wipe/delete all the Palm Desktop data first, then reload Palm Desktop using DejaOffice PC CRM Data.
  4. Deletion Preferences - This option allows you to choose a Primary Database for deletions.
  • If you select DejaOffice PC CRM as your primary database, and you delete content in Palm Desktop the content would remain in DejaOffice PC CRM.
  • If you select the Palm Desktop as the Primary Database, and you delete content in DejaOffice PC CRM the content would remain in Palm Desktop.
  • If you select Records Deleted in Either will be synchronized, content deleted in either DejaOffice PC CRM or Palm Desktop will be deleted on the other side.
Note - Always use caution with any wipe option. We always recommend you have a copy of your data backed up.
Reread - These advanced options are typically reserved for troubleshooting and do not need to be changed.


Advanced Settings

  1. Auto Sync:
  • Realtime - This option detects changes added to Palm Desktop\DejaOffice PC CRM and adds them to\from the other within a few seconds.
  • Every - This option sets an auto sync at an interval of your choosing.
  • Daily - This option sets an auto sync for once a day at the selected time.
  • Manual - This option allows you to control the CompanionLink sync manually.
2. Sync Time - This option allows you to further specify when the selected auto sync can take place.
3. Language - This option allows you to set CompanionLink to a different language.
  • For the language change to take full effect you many need to close and reopen CompanionLink.



Time and Chaos

Database Tab

  1. Database Folder: In this field please specify the file path of your database. (This will typically be automatically populated with the correct location of your Time & Chaos data folder)


Filters Tab

  1. Sync all Time & Chaos Contacts: If you wish to sync all content without a filter applied please select this settings.
  2. Sync only contacts in these groups: If you wish to sync only specific groups please select this option and select the groups you wish to sync.
  3. Add new Contacts to this Group\Category: This allows you to specify which group/category new contacts from the DejaOffice PC CRM will be added to in Time & Chaos.


General Tab

  1. Startup: This option allows the DejaOffice PC CRM sync to run at the computer start.
  2. Completed Tasks: Enabling this option syncs Completed Tasks to\from the Android to DejaOffice PC CRM.


Calendar Tab

  1. Date Range: This option allows you to set a date range for previous calendar days. By default this will be set to 90 days, to sync older calendar entries, adjust this to a higher number of days.


Field Mapping Tab

Field mapping gives you the option to choose which fields are mapped from Time & Chaos. Most Time & Chaos contact fields are mapped by default. Usually, field mapping is only needed if you have custom fields or need a specific field to be mapped.

  1. The fields on the left that cannot be changed, are the Device fields.
  2. The fields on the right in the drop-down boxes are Time & Chaos fields.


Calendar Format Tab

  1. Use this option to select the Calendar Format you wish to see on your device.
  2. These are examples of how each calendar format will appear. These examples represents the subject line of the calendar event.
  3. This option will abbreviate the Time & Chaos event types to one character. (e.g. Call = C)


Category Field Tab

  1. Category Field: This options allows you to select a field in Time & Chaos that CompanionLink will use to create categories on the device. By default this field is set to Group. This will use the values in the Group field in Time & Chaos to create categories when syncing to your device.

Google

Google Settings Tab

Opening the Google settings should immediately open a window with a prompt to "Sign into Google".

1. In the box that pops up, enter your email address. Please include the full Google email address. Click Next.
2. Enter enter your Gmail password. Click Next.
3. Click the "Allow Access" button in the bottom right to finalize the Google Login.


More Google Settings

  1. If you are unable to Sign in to Google with the above steps, the Manual OAuth Process will provide an alternative method for allowing CompanionLink to access Google. Typically this will not be necessary.
  2. Default Calendar: If you only want to sync the default calendar you would select this option. This is the main calendar that comes with every Google Account.
  3. All Calendars: Google allows the creation of multiple calendars. If you wish to synchronize the content of all your calendars you would select this option.
  4. Selected Calendars: If you wish to only synchronize specific calendars you would select this option and then choose the corresponding calendar.
  5. Default Calendar Drop-down: If you are syncing to multiple calendars use this option specify the specific calendar you wish the new events to from from DejaOffice PC CRM to be added to in Google.
  6. Sync Event Colors: Google does not support categorization as some databases do, this option can sync an assigned color category of an event in your database (if your database supports this) to an Event Color in Google.
  7. Modern Color Set: Google is now offering a "Modern Color Set" if you are not seeing your Category Colors sync correctly to Google, enable this option.


General Tab

Outlook

General Tab

  3. Outlook Autosync: This option tells DejaOffice PC CRM to skip auto syncing if Outlook is closed.
  4. Completed Tasks: Enabling this option syncs Completed Tasks to\from the Android to DejaOffice PC CRM.
  5. Contact Groups: This option enabled Outlook Contact Groups\Distribution lists to sync to\from DejaOffice PC CRM. (Contact Groups\Distribution lists are still being added to DejaOffice PC CRM, they should be working shortly)


General (More) Tab

  1. Attachments: This option allows for the synchronization of Contact\Event Attachments. (Note: currently attachment sync do not work in DejaOffice PC CRM, we are adding this feature shortly)

Category Filter Tab

  1. All\Selected Categories: Select All Categories to sync all Outlook records or select Selected Categories to sync only a subset of your Outlook data, by filtering the sync using Outlook categories.
  2. Apply filter to these applications: Use this option to set the category filter to specific conduits. You can set the filter only one conduit or to all conduits. (i.e. contacts, calendar, task, notes)
  3. Select Categories: On the right you can select which Outlook categories will be included in the synchronization. Any data that does not belong to the selected categories will not sync.

Outlook Folders

  1. Contact\Calendar\Task\Note Folder: This option allows you to specify which folder from Outlook you would like to sync.
  2. Include Subfolders: This option allows you to specify whether or not to sync subfolders.
  • If you only use one list of Contacts, Calendar, Tasks, and Notes in Outlook, you do not need this option enabled.

Email to History Settings (Express and Pro)

Inbox Settings

1. Store Inbox Email to History: This setting allows you to select what information from the Outlook Email is stored in the History Record. Choose from one of the three options
  • Subject Only: Stores only the email Subject as the History Record Subject.
  • Subject and Body: Stores both the Email Subject as the History Record Subject and the Email Body in the Notes of the History record.
  • Subject, Body and Attachments: Stores the Email Subject as the History Record Subject, the Email Body in the Notes of the History record and links any attachments to the History record.
2. Inbox Folder Name: This option allows you select the Default Inbox to Read emails from in Outlook. "Inbox" is the default, but if you have a special folder set to receive emails you want to store you can adjust this setting accordingly.

Outbox Settings

1. Store Outbox Email to History: This setting allows you to select what information from the Outlook Email is stored in the History Record. Choose from one of the three options
  • Subject Only: Stores only the email Subject as the History Record Subject.
  • Subject and Body: Stores both the Email Subject as the History Record Subject and the Email Body in the Notes of the History record.
  • Subject, Body and Attachments: Stores the Email Subject as the History Record Subject, the Email Body in the Notes of the History record and links any attachments to the History record.
2. Outbox Folder Name: This option allows you select the Default Inbox to Read emails from in Outlook. "Outbox" is the default, but if you have a special folder set to receive emails you want to store you can adjust this setting accordingly.

Other Settings

1. Add History Items for: Sets which contact record in DejaOffice PC CRM will have an attached History record.
2. Store Outbox Email to History: This setting allows you to select what information from the Outlook Email is stored in the History Record. Choose from one of the two options
  • Sender and Recipients: Adds a history record linked to both the Sender and Recipients Contacts.
  • Sender Only: Adds a history record linked to the Senders Contact.
3. Add histories for these contact categories: This option allows you to select specific Categories in DejaOffice PC CRM to scan email histories. This will exclude adding email histories any categories not selected if this is set.
4. Reread All Emails: This option forces a full re-scan of Outlook emails. If you have added new contacts and have preexisting emails for these records, you will need to enable a "Reread All Emails" to get these older emails into History.

Scan Emails

1. Automatic scans are done after each sync: Selecting "Scan Now" allows you to preform a manual scan of the Outlook Emails.
2. Scan email histories from folders: Selecting "Scan Specific Folders" allows you to select Outlook Email sub-folders for email to history.
3. Undo Last Scan: Selecting "Undo Last Scan" removes and history items created from Outlook Emails on the last scan.



Outlook.com

Windows Live Settings

  1. Email\Password: In this box enter your Windows Live\Outlook.com email and password.
  2. Default Calendar: If you only want to sync the default calendar you would select this option. This is the main calendar that comes with every Outlook.com\Windows Live Account.
  3. All Calendars: Outlook.com\Windows Live allows the creation of multiple calendars. If you wish to synchronize the content of all your calendars you would select this option.
  4. Selected Calendars: If you wish to only synchronize specific calendars you would select this option and then choose the corresponding calendar.
  5. Default Calendar Drop-down: If you are syncing to multiple calendars use this option specify the specific calendar you wish the new events to from from DejaOffice PC CRM to be added to in Outlook.com\Windows Live.

  3. Add Linking to Note Field: This option allows Attendees from DejaOffice PC CRM to be added to the Note field of an event instead of the Attendees list in Outlook.com. This can prevent unwanted automatic invite emails from being sent by Outlook.com.

Act!

ACT! Data Tab

  1. Database: In this line you can select your current Act! database file. (CompanionLink will automatically populate the most recently opened Act! database.)
  2. User Name: Enter your Act! User name in this field.
  3. Password: Enter your Act! password in this field.
  4. Remote Database: This is only for older version of Act! and typically will not need to be enabled.


Groups Tab

  1. Sync All Groups: You would select this option if you wish to have all of your ACT! contacts synced.
  2. Sync selected Groups: You would select this option if you only wish to have specific groups syncing.
  3. Add new contacts to this Group: This allows you to specify which group/category new contacts from DejaOffice PC CRM will be added to.


User ID Tab

In some cases multiple users may be utilizing the same ACT! Database.

  1. Attribute new records to: In this field you can confirm which user you wish for the incoming records to be associated with.
  2. Sync records for all users: If you wish to sync all records from ACT! to your device you would select this option.
  3. Sync records for specific users': If you wish to sync records for specific users, including only your own you can select this option then choose which users information you would like to be synced.

Activity Mapping Tab

Using these options you can choose if Activity Types from Act! sync to either the Calendar or the Tasks in DejaOffice PC CRM.

  1. The left text represents the Activity Types from Act!
  2. The Drop down options to the right allow you to map each ACT! Activity Type to sync to either Calendar, Tasks, or Do Not Synchronize.
  3. Sync Untimed Events: This option allows you to either sync or not sync untimed\timeless events from Act!
  • Note: The option to sync Opportunities only exists in DejaOffice PC CRM Professional.


Category Field Tab

  1. Category Field: This options allows you to select a field in Act! that CompanionLink will use to create categories on the device. By default this field is set to ID Status. This will use the values in the ID Status field in Act! to create categories when syncing to DejaOffice PC CRM.


Field Mapping Tab

Field mapping gives you the option to choose which fields are mapped from Act!. Most Act! contact fields are mapped by default. Usually, field mapping is only needed if you have custom fields or need a specific field to be mapped.

  1. The fields on the left that cannot be changed, are the DejaOffice PC CRM fields.
  2. The fields on the right in the drop-down boxes are Act! fields.


Note Options Tab

  1. Items to Transfer: This option allows you to sync Notes, History, Attachment Names, User Fields and Web Info Links from ACT! Contacts. (If you want to sync History items, it is better to enable this under the Applications tab and leave it unchecked here).
  2. Max Number to Transfer: This option allows you to set the maximum number of Notes and/or History you want to sync for each contact.


Secondary Tab

  1. Secondary Contacts - This options allows you to sync ACT! secondary contacts to the device.
    • Notice: Secondary contacts will sync to the device as individual contacts.
  2. Act! Companies - This option allows you to sync the Company portion in ACT!



Calendar Format Tab

  1. Use this option to select the Calendar Format you wish to see on your device.
  2. These are examples of how each calendar format will appear. These examples represents the subject line of the calendar event.
  3. This option will abbreviate the Act! event types to one character. (e.g. Call = C)


  • Note: This feature is currently being added to DejaOffice PC CRM and will be available shortly.


Phone Format Tab

  1. Use US Formatting: This option will format phone number using US Format. (e.g. (503) 243-5200)
  2. Automatically Include Extensions: This option will include extension numbers, behind the phone number, separated by "symbol to use for extension". (e.g. (503) 243-5200;340)
  3. Clear Leading Zero: This option will delete the leading 0 from any phone number.
  4. Sync All Country Codes: This option will sync all country codes with phone numbers. With the option OFF the sync will sync all country codes except the local country code.
  5. Extension Symbol: This option lets you set what symbol is used for extensions. Note: The correct symbol has to be used for specific phones to be able to dial extensions (e.g. iPhone and Android uses ; (simicolon))
  6. Local Country Code: This should be set to the local country code. (e.g. US =1; UK = 44)


Applications Tab

  1. Data Types to Sync - This option allows you to select which data types to synchronize. (i.e. contacts, calendar, task, notes, journals)
  2. Sync Directions - This option allows you to set the sync direction. (i.e. DejaOffice PC CRM to Act!; Act! to DejaOffice PC CRM; Sync both ways)

  4. Deletion Preferences - This option allows you to choose a Primary Database for deletions.
  • If you select DejaOffice PC CRM as your primary database, and you delete content in Act! the content would remain in DejaOffice PC CRM.
  • If you select the Act! as the Primary Database, and you delete content in DejaOffice PC CRM the content would remain in Act!.
  • If you select Records Deleted in Either will be synchronized, content deleted in either DejaOffice PC CRM or Act! will be deleted on the other side.

Goldmine

Executable File Tab

  1. Goldmine Executable: In this line you can select the location of your Goldmine executable file. (Typically this will automatically populated.)
  2. User ID: Enter your Goldmine User ID in this field.
  3. Password: Enter your Goldmine password in this field.


Database Tab

  1. Database Name: Select the Contact set from Goldmine you wish to sync.
  2. Calendar Path: Select the Calendar Path of the Goldmine calendar you want to sync. (Typically this will automatically populated.)


Filter\Group Tab

  1. Filter Name: You can use this option to select only a specific type of event to sync. This can reduce sync time with larger databases.


User ID Tab

In some cases multiple users may be utilizing the same Goldmine Database.

  1. Select Activity User Name: In this drop down you can specify a specific Goldmine user's calendar records to sync.


General Tab

  1. Personal Category: This option enables the syncing of items in the Personal category. If you do not want data categorized in the Personal Category to sync, you can uncheck this option.
  2. Startup: This option allows the DejaOffice PC CRM sync to run at the computer start.

IBM Notes

Settings Tab

1.Lotus Note executable: In this field you will specify the file path to your Lotus Notes Executable and the password. (The executable file location will typically be automatically populated, just fill in the password).
2.Data Files: In these fields you will enter the location of your Mail and Calendar file, the Address File and the Journal\Notebook File.
  • You can denote whether the information is installed locally or is located on a server. If you are unsure please reference your Lotus Notes documentation or consult your IT department.
3.Meeting Invites to Calendar Note: In this field you can specify whether CompanionLink will sync Required and\or Optional Invitees. These will sync to event notes in DejaOffice PC CRM.
4.Default Type for new Events: In this field you can specify whether events added to the DejaOffice PC CRM will synchronize as an Appointment or a Meeting.


General Tab

  1. Personal Category: This option enables the syncing of items in the Personal category. If you do not want data categorized in the Personal Category to sync, you can uncheck this option.

Email to History Settings

Inbox Settings

1. Store Inbox Email to History: This setting allows you to select what information from the Thunderbird Email is stored in the History Record. Choose from one of the three options
  • Subject Only: Stores only the email Subject as the History Record Subject.
  • Subject and Body: Stores both the Email Subject as the History Record Subject and the Email Body in the Notes of the History record.
  • Subject, Body and Attachments: Stores the Email Subject as the History Record Subject, the Email Body in the Notes of the History record and links any attachments to the History record.
2. Inbox Folder Name: This option allows you select the Default Inbox to Read emails from in Thunderbird. "Inbox" is the default, but if you have a special folder set to receive emails you want to store you can adjust this setting accordingly.

Outbox Settings

1. Store Outbox Email to History: This setting allows you to select what information from the Thunderbird Email is stored in the History Record. Choose from one of the three options
  • Subject Only: Stores only the email Subject as the History Record Subject.
  • Subject and Body: Stores both the Email Subject as the History Record Subject and the Email Body in the Notes of the History record.

2. Outbox Folder Name: This option allows you select the Default Inbox to Read emails from in Thunderbird. "Outbox" is the default, but if you have a special folder set to receive emails you want to store you can adjust this setting accordingly.

Other Settings

1. Add History Items for: Sets which contact record in DejaOffice PC CRM will have an attached History record.
2. Store Outbox Email to History: This setting allows you to select what information from the Thunderbird Email is stored in the History Record. Choose from one of the two options
  • Sender and Recipients: Adds a history record linked to both the Sender and Recipients Contacts.
  • Sender Only: Adds a history record linked to the Senders Contact.
3. Add histories for these contact categories: This option allows you to select specific Categories in DejaOffice PC CRM to scan email histories. This will exclude adding email histories any categories not selected if this is set.
4. Reread All Emails: This option forces a full re-scan of Thunderbird emails. If you have added new contacts and have preexisting emails for these records, you will need to enable a "Reread All Emails" to get these older emails into History.

Scan Emails

1. Automatic scans are done after each sync: Selecting "Scan Now" allows you to preform a manual scan of the Thunderbird Emails.
2. Scan email histories from folders: Selecting "Scan Specific Folders" allows you to select Thunderbird Email sub-folders for email to history.
3. Undo Last Scan: Selecting "Undo Last Scan" removes and history items created from Thunderbird Emails on the last scan.


monday.com

Monday Settings

To sync with monday.com you will need an API Token. To get an API token for monday.com please use the following steps:

  1. Open monday via your browser and sign in if prompted.
  2. Click the Circle in the bottom left with your initials and select Developers from the menu.
  3. At the top of the page, click Developers and select "My Access Tokens" from the menu.
  4. Generate a new token.


You will want to Copy the Token and paste it into the CompanionLink Settings. Click Here for our guide on creating Boards in monday.com.

HubSpot

HubSpot Settings

To sync with HubSpot you will need to login.

  1. Select the HubSpot Tab in the Source settings menu.
  2. When selected it will launch a Browser prompting you to Sign into HubSpot. Do so and allow access to CompanionLink.

  2. Sync Directions - This option allows you to set the sync direction. (i.e. DejaOffice PC CRM to IBM Notes; IBM Notes to DejaOffice PC CRM; Sync both ways)
  3. Wipe Options - This option will wipe/delete all the IBM Notes data first, then reload IBM Notes using DejaOffice PC CRM Data.
  4. Deletion Preferences - This option allows you to choose a Primary Database for deletions.
  • If you select DejaOffice PC CRM as your primary database, and you delete content in HubSpot the content would remain in DejaOffice PC CRM.
  • If you select HubSpot as the Primary Database, and you delete content in DejaOffice PC CRM the content would remain in HubSpot.
  • If you select Records Deleted in Either will be synchronized, content deleted in either DejaOffice PC CRM or HubSpot will be deleted on the other side.
Note - Always use caution with any wipe option. We always recommend you have a copy of your data backed up.
Reread - These advanced options are typically reserved for troubleshooting and do not need to be changed.

Advanced Settings

  1. Auto Sync:
  • Realtime - This option detects changes added to IBM Notes\DejaOffice PC CRM and adds them to\from the other within a few seconds.
  • Every - This option sets an auto sync at an interval of your choosing.
  • Daily - This option sets an auto sync for once a day at the selected time.
  • Manual - This option allows you to control the CompanionLink sync manually.
2. Sync Time - This option allows you to further specify when the selected auto sync can take place.
3. Language - This option allows you to set CompanionLink to a different language.
  • For the language change to take full effect you many need to close and reopen CompanionLink.
