DejaOffice PC CRM - Set Up Shared Network Database

If you have multiple people that all want to use the same Database and everyone has access to the same local network, you can set up a shared folder, place the DejaOffice PC CRM database here, then have each person access the same database file. If you already have a Network Folder setup, skip to the Install and Open section below.

Note: There are known performance issues when using Windows Server or NAS devices (Synology, QNAP, Drobo, etc), as the source of the shared network folder. We do not recommend putting the database on a Windows Server machine or a NAS.

Create a Shared Network Folder

Windows allows you to create a shared folder from one on the PC's on the network. See the following steps for creating the shared folder:

  1. Open File Explorer.
  2. Navigate to the folder you want to share. We recommend making a new folder for this.
  3. Right-click the folder, and select the Properties option.
  4. Select the Sharing tab at the top and click the Share button.
  5. Select the Users you want to Share the folder with (the other Windows users on the network). Make sure each user has Read/Write Access.
  6. After selecting all of the users, click the Share button.


Now the other PC's on the network will access to the shared folder. See the next section for how to Add this folder on the other PCs. If this is already done see the final section on Installing the PC CRM and selecting the Folder with the database.







Map an Existing Shared Network Folder

If you already have a Shared Network Drive, such as a NAS or if you have already created a Shared Network folder from another PC from the Above Steps, use the following to Add that Shared Folder to an additional PC:

  1. Open File Explorer from the taskbar or the Start menu, or press the Windows logo key + E.
  2. Select This PC from the left pane. Then, on the Computer tab at the top, select "Map network drive".
  3. In the Drive list, select a drive letter. (Any available letter will do.)
  4. In the Folder box, type the path of the folder or computer, or select Browse to find the folder or computer (IE \\Shared\DejaOffice). To connect every time you sign in to your PC, select Reconnect at sign-in.








Install DejaOffice PC CRM, Create a Database in the Shared Folder and Open on Each PC

When you have the folders setup, the last step is to install the DejaOffice PC CRM on the first machine, create a database file in the shared\mapped folder you setup, then setting each PC to access this same folder.

  1. Install DejaOffice PC CRM Express or Pro on the first machine. Click Here for our guide on Installing the PC CRM.
  2. From the DejaOffice PC CRM main screen, select Settings on the left, Select Database Settings, then choose New (You can also use Move if you have an existing database file locally).
  3. Select the Shared Folder on the Network from the Previous Steps and click "Select Folder".
  4. Open the new database when prompted.


Open the Network Database on Each PC

Now that the database has been created, on each of the other PC's that need to access the database, we just need to Install, then "Open" that same folder:

  1. Install DejaOffice PC CRM Express or Pro on each of the secondary machines. Click Here for our guide on Installing the PC CRM.
  2. From the DejaOffice PC CRM main screen, select Settings on the left, Select Database Settings, then choose Open.
  3. Select the Shared Folder on the Network from the Previous Steps and click "Select Folder".
  4. Open the new database when prompted.



Use Sync to Share a Database

If you do not have a Local Network which everyone has access to, you can also use our DejaCloud Sync to setup a shared database.

  1. Create a DejaCloud Account. Click Here to create an Account.
  2. Install DejaOffice PC CRM Express or Pro on each of the machines. Click Here for our guide on Installing the PC CRM.
  3. From the DejaOffice PC CRM main screen, select Settings on the left, Select "Sync Settings".
  4. Under "Device" select DejaCloud and then select Settings.
  5. In the menu that opens, have Each User enter the same DejaCloud Email and Password created in step 1.
  6. Click Ok, then click Ok on the prompt to Sync Now.


That's it! Each PC connected to DejaCloud can be on their own network and as long as they have any type of internet connection they can keep their database up to date with the others.
