How To Remove Duplicates

ACT!

ACT! 3.0 to 6.0 Contacts: To do this, you would want to use an ACT! query to select all the contacts added the day the duplicates were created, then delete these.

  1. Go to the Lookup menu.
  2. Choose By Example.
  3. Find the field, Create Date.
  4. Put in the date of the sync. For example, 4/23/07.
  5. Click on the File menu.
  6. Choose Save.
  7. Click on the Query menu.
  8. Choose Run.
  9. The contact list will now display those contacts that match the query terms. Delete all the items in the contact list. This will remove all the entries created on the day of the sync.

ACT! 2005+ Contacts: To do this, you would want to use an ACT! query to select all the contacts added the day the duplicates were created, then delete these.

  1. Go to the Lookup menu.
  2. Choose By Example.
  3. Find the field, Create Date.
  4. Put in the date of the sync. For example, 4/23/07.
  5. Click on the Search button.
  6. A box will prompt you to select a query option. Select 'Replace lookup'.
  7. The contact list will now display those contacts that match the query terms. Delete all the items in the contact list. This will remove all the entries created on the day of the sync.

ACT! activities: You can select multiple activities by holding down the CONTROL button and clicking on the items you want to erase. Once you have them selected, right-click the items and choose Clear Multiple Activities. From the next window, select Erase, and choose OK.

GoldMine:

Use a filter. Set Creaton = 00/00/00. Then go to Preview Tab in Filters and click SearchAll. You will have to delete contacts in the list one by one.

Outlook

Outlook contacts:
1. Right-click in the Contacts window.
2. Click "Customize current view."
3. Click Fields.
4. Choose "All Contact Fields" from dropdown.
5. Highlight 'Created' in left list, then click Add.
6. Click OK twice.

Outlook calendar/tasks:
1. Go to the Calendar/Tasks.
2. Go to the View menu.
3. Choose Arrange By, then Current View. (If you do not have Arrange By, then choose Current View).
4. Make a note of your current view setting so that you can reset the view to this when you are done.
5. Click on By Category.
6. At the top of the screen, you should see labeled column headings (such as Subject, Location, etc.)
7. Right-click one of these.
8. A new menu will open. Select 'Field Chooser'.
9. A list of fields will appear.
10. At the top of this list, you should see a dropdown menu with 'Frequently-used fields' selected.
11. Click the dropdown menu and choose 'All fields'. (For example, "All appointment fields".)
12. Find 'Modified' in the list of fields.
13. Left-click on Modified and drag this to the labeled column headings.
14. You should now have a new column called Modified.
15. Click on the label Modified to sort the list by date. Typically, duplicates from a sync will appear on the date of the sync, at or about the same time. Deleting these will remove the duplicated records.
