Definitions Of The Tabs In CompanionLink Setup

This section lists the tabs found in CompanionLink Setup, which handheld, contact manager and version of CompanionLink each applies to, the default setting and what each tab does. You can find these tabs in CompanionLink Setup. Please disconnect your handheld, then open CompanionLink Setup and click on Settings. If you see the user profile screen, click Next. Click Next and then Configure.

Notes:

  1. "All versions" means that the tab is present in both CompanionLink Express and CompanionLink Professional. If you are using the evaluation version of CompanionLink, whether a given tab would appear depends on whether you downloaded the Express or Professional evaluation.
  2. "All handhelds" means that the tab is present for all choices listed in CompanionLink Setup, under Settings, when you are asked to choose a handheld.
  3. "Palm" means any handheld which uses the Palm operating system.
  4. "Windows Mobile through Outlook" means any handheld set up to synchronize through Outlook to a contact manager using Microsoft ActiveSync or Windows Mobile Device Center.
  5. "Windows Mobile direct" means any handheld set up to synchronize directly to a contact manager using Microsoft ActiveSync.
  6. "No default" means that the default setting for this tab varies depending on your computer's settings.

ACT! Data

Version: All versions.
Handheld: All handhelds.
Contact Manager: ACT!
Default Setting: Database in ACT! when ACT! was last closed.
Explanation: This tab allows you to select which ACT! database you wish to sync with. As ACT! does not provide you with the path to your database, the best way to configure CompanionLink initially is to first open ACT!, make sure that you have your database up, then close ACT! and configure CompanionLink. When CompanionLink is first configured, it will then select that database, as it defaults to the database that was open in ACT! when ACT! was last closed.


Additional Contacts

Version: CompanionLink Professional
Handheld: Outlook, Palm, Windows Mobile through Outlook
Contact Manager: GoldMine
Default Setting: Unchecked
Explanation: This tab allows CompanionLink Professional users to choose to synchronize the contacts that appear on the Contacts tab of a record in GoldMine. By default, these do not synchronize. If this option is selected, all of the contacts from the Contacts tab will synchronize to the handheld as new records with an asterisk after the last name. This asterisk indicates that these are additional rather than primary contacts. They will synchronize as new records and do not contain a link to the primary contact that they appear under in GoldMine.

NOTE: If you uninstall CompanionLink or install CompanionLink on a new computer or otherwise cause CompanionLink to lose its .dat files that contain its record of what it has synched, CompanionLink will not know that these are additional contacts. By default, these would sync back into GoldMine as new records. We recommend doing a purge and reload instead in these situations.


Alarms

Version: CompanionLink Professional
Handheld: All handhelds.
Contact Manager: ACT!, GoldMine, Lotus Notes, Outlook
Default Setting: Synchronize alarms
Explanation: By default, CompanionLink synchronizes all alarms set for activities between your handheld and your contact manager. This can result in having multiple alarms go off at the same time for a given activity. CompanionLink Professional users have the ability to turn off synchronization of alarms so that the alarm only goes off in the contact manager OR the handheld, depending on where it was originally set.


BlackBerry Version

Version: All versions.
Handheld: BlackBerry
Contact Manager: All contact managers.
Default Setting: Defaults to the detected version of your BlackBerry.
Explanation: This tab lists the operating system version of your BlackBerry. This is auto-detected by CompanionLink by default. If your handheld's operating system differs from CompanionLink's default choice, choose the correct option from the dropdown menu.


Calendar Format

Version: All versions.
Handheld: All handhelds.
Contact Manager: ACT!, GoldMine
Default Setting: CompanionLink original
Explanation: ACT! and GoldMine allow you to schedule an activity for a contact and to see that activity when you click on the contact. CompanionLink transfers this information to your handheld along with the activity type. This tab controls how you see this linking data on the handheld. You also have the option to see the activity type as a single character (for example, M for meeting). You may set this tab to any setting you wish; it does not affect whether your data synchronizes, only how the data appears on the handheld.


Category Field

Version: All versions.
Handheld: BlackBerry, Outlook, Palm, Windows Mobile direct, Windows Mobile through Outlook.
Contact Manager: ACT!, GoldMine
Default Setting: ACT!: ID/Status
GoldMine: No Mapping

Explanation:The Category Field tab allows you to select a field from your main contact manager to use to categorize their contacts on your handheld. If the contact in the contact manager has data in this field, a category for it will be created on the handheld and the contact will be placed in this category. Linked activities from the contact manager will be filed in the same category as the contact.

Examples:

  • If the Category Field is set to No Mapping, then all of the contacts and linked data goes into the Unfiled/None category (depending on the handheld).
  • If the Category Field is set to Business, then all of the contacts and linked data goes into the Business category. (Note: If you select this option, then all of your current data on the handheld will also be recategorized as Business unless the handheld categories have been excluded from the synchronization.)
  • If the Category Field is set to Group Name, then all of the contacts and linked data goes into the same category as the contact's group (ACT! only).
  • If the Category Field is set to any other field, then all of the contacts and linked data will go into a category based on what the contact has in that field. (For instance, if you select ID/Status as the field, and the contact had Vendor in the ID/Status field, it would go into a category called Vendor.)

Custom Fields

Contact Manager: ACT!, GoldMine
Default Setting: No default.
Explanation:Palm Address Book contacts have fields which are called 'Custom field 1', 'Custom field 2', etc. By default, your handheld allows you to enter any data you wish to them. CompanionLink gives you the ability to put data from your contact manager into these custom fields. You would find this option in CompanionLink Setup on the Custom Fields tab.

The Custom Fields tab allows you to select which fields from your contact manager should transfer to which custom fields on your handheld. On this tab, you will see Custom 1, then dropdown menu to the right of Custom 1, then on the next line, Custom 2 with a matching dropdown menu. The dropdown menus list the fields from your contact manager. If, for instance, you selected Spouse from the dropdown menu for Custom 1, then the entries from the Spouse field in your database would transfer to the Custom 1 field for the contacts in your Palm Address Book.


Database

Version: All versions.

Contact Manager: GoldMine
Default Setting: No default.
Explanation: This tab allows you to select which GoldMine database you wish to synchronize with. You can find this information by opening GoldMine and looking in the lower lefthand corner. The name there is the name of your database.

NOTE: Do NOT use the Browse button. If your database name is not listed in the dropdown menu, then there is something else wrong with your configuration settings. Your database name should always be in the dropdown menu.


Datebook Map

Version: CompanionLink Professional
Handheld: All handhelds.
Contact Manager: ACT!, Goldmine
Default Setting: ACT!: Meetings, calls
GoldMine: Calls, next actions, appointments
Explanation: This tab allows CompanionLink Professional users to select which activities from their contact manager will sync to the Datebook/Calendar area of the handheld. GoldMine users who do not have CompanionLink Professional will NOT be able to synchronize all of their GoldMine activities. GoldMine users with CompanionLink Express will only be able to synchronize calls, next actions and appointments to the Datebook/Calendar area of their handheld.
  • Checking an activity type here and unchecking it on the Todo Map tab will result in the activity transferring to the Datebook/Calendar area of the handheld.
  • Unchecking an activity type here and checking it on the ToDo Map tab will result in the activity transferring to the Todo List/Tasks area of the handheld.
  • Unchecking an activity type on both the Datebook Map and the Todo Map tab will result in the activity type not transferring at all.
  • You cannot check an activity on the both the Datebook Map and Todo Map tabs. Doing so will result in no data transferring for the Datebook/Calendar or the Todo List/Tasks areas of the handheld.

Executable File

Version: All versions.
Handheld: All handhelds.
Contact Manager: GoldMine
Default Setting: No default for Executable Path. User ID and Password are blank.
Explanation: This tab has three boxes, Executable Path, User ID and Password. These settings allow CompanionLink to access your GoldMine program. They should be set so that they are the same as the settings you use to get into GoldMine.
  • Executable path: You can find this by right-clicking the shortcut you use to open GoldMine, and then clicking on Properties. On the Shortcut tab, the Target line contains the executable path to GoldMine.
  • User ID: You can find this in GoldMine by looking in the lower righthand corner immediately to the left of the date. This is not case sensitive.
  • Password: You cannot find this information in GoldMine. GoldMine does not require a password, so you may not have one. If you do have one, make sure that your Caps Lock key is off when you enter your password in CompanionLink, as the password is case sensitive.

Field Mapping

Version: CompanionLink Professional
Handheld: Outlook, Windows Mobile direct, Windows Mobile through Outlook
Contact Manager: ACT!, GoldMine
Default Setting: No default.
Explanation: This tab allows CompanionLink Professional users to choose which fields from their contact manager they would like transferred to their handheld. There is a dropdown menu in the upper righthand corner of this tab with five options (Phone Numbers, Additional Phone Numbers, Home Address, Other Address and Miscellaneous). Clicking on any of these will bring up a screen with more fields to map. In the main section of the tab, the fields listed on the left are Outlook/Pocket Outlook fields. These cannot be changed. The fields on the right in the dropdown menus are the fields from your database.

NOTE: The Other field on the Phone Numbers screen does NOT appear on the handheld.


Fields

Version: All versions.
Handheld: BlackBerryPalm
Contact Manager: ACT!
Default Setting: Work address.
Explanation:The BlackBerry and Palm handhelds only have one area for addresses for each contact. Some contact managers, such as ACT!, allow you to have multiple addresses for a contact. It is not possible to synchronize multiple addresses to the BlackBerry or the Palm. However, on the Fields tab in CompanionLink, you can choose which ACT! address you want on your handheld. This tab displays the address fields from the handheld on the left. In middle, there are drop-down menus, displaying the corresponding fields from your contact manager. These are the fields that will be synched to your handheld. On the right are two buttons that allow you to select the Home or Business address. If you click one of these buttons, it will set the fields in the middle to the default for that address.


Filter/Group

Version: All versions.

Contact Manager: GoldMine
Default Setting: All Records.
Explanation: This tab allows you to choose a filter or a group from GoldMine to synchronize with your handheld instead of all the contact records. All of the filters and groups you see in GoldMine should be listed here. You may only select one item from the dropdown menu.

Note: Filters must be simple. We recommend using only one or two terms in your filter. If you change the terms of the filter selected in CompanionLink, you must set the Filter/Group tab to 'All Records', save this, exit CompanionLink, then reopen CompanionLink and reselect your filter. This is because CompanionLink stores the terms of your filter and therefore cannot see the change until this is done.


Groups

Version: All versions.

Contact Manager: ACT!
Default Setting: Synchronize all ACT! contacts.
Explanation: This tab allows you to choose a group or groups of contacts from ACT! to synchronize with your handheld instead of all the contact records. The options are:
  • Synchronize all ACT! contacts. All contacts in the ACT! database will be synched with the handheld.
  • Synchronize only contacts in these groups. The groups from the ACT! database will be listed here. Putting a checkmark next to a group will cause the contacts from that group to sync with your handheld. You may choose as many groups as you wish.
  • Add new contacts from the handheld to this Group. This option is only available if you select 'Synchronize only contacts in these groups'. You need to select a group from the dropdown menu. Any new contacts added on the handheld will be put into this group.

Memo Info

Version: All versions.
Handheld: BlackBerry, Outlook, Palm, Windows Mobile through Outlook.
Contact Manager: ACT!, GoldMine
Default Setting: N/A
Explanation:The Memo Info tab explains how to sync your Palm Memo Pad or Outlook Notes data with ACT! or GoldMine. Neither of these contact managers have specific memo areas. In order for CompanionLink to synchronize data between ACT! or GoldMine and your Palm Memo Pad/Outlook Notes area, it has to put this data into a specific area in these contact managers. You also have to designate your data in a special way in order for CompanionLink to recognize it as something which should be synchronized with the Palm Memo Pad/Outlook Notes area.
  • For ACT!: Palm Memo Pad/Outlook Notes items are transferred to the Notes/History area of the database's MyRecord contact. To create a note in ACT! that will transfer to the Palm Memo Pad/Outlook Notes area, you would create a note in the MyRecord contact and put an asterisk (*) as the first character.
  • For GoldMine: Palm Memo Pad/Outlook Notes items are transferred to the Personal Base tab of the InfoCenter. To create a note in GoldMine that will transfer to the Palm Memo Pad/Outlook Notes area, you would create a note in the Personal Base tab of the InfoCenter and put an asterisk (*) in the Keyword, Subject, Topic or Book field.
  • For Lotus Notes: Palm Memo Pad/Outlook Notes items are transferred to the Comments section under the Briefcase tab of the contact. To create a note in Lotus Notes that will transfer to the Palm Memo Pad/Outlook Notes area, you would add it in this same section.

Send contact notes both directions
Explanation: This tab allows you to choose which items from a contact's Notes/History tab in ACT! to sync to the handheld and how many of them. You may select to transfer Notes, History and/or Attachments. If you choose Attachments, only the subject of the attachment will transfer. These items will appear in the handheld in the notes area of the contact they are for. The maximum number of notes that may be transferred is 25. You can choose to send your contacts only one direction, from ACT! to the handheld.


Notes

Version: All versions.

Contact Manager: GoldMine
Default Setting: Transfer notes from the GoldMine contact notepad
Number of notes: 5
Explanation:This tab allows you to choose whether to synchronize the notes from the GoldMine contact's Notes tab or History tab to the notes area of the contact on the handheld and how many of these to transfer. CompanionLink can synchronize the notes from either the Notes tab or the History tab. Synchronizing Notes from the Notes tab allows you to enter notes on your handheld and have these sync back into GoldMine. If you choose History, then the completed activities from GoldMine will synchronize to your handheld and you will NOT be able to enter notes into the notes area of contacts in your handheld.


Notes Data

Version: All versions.

Contact Manager: Lotus Notes
Default Setting: Mail and Calendar File: Server
Address File: Local
Explanation: This tab allows you to select which Notes file you are synching with for your calendar and for your addresses. Unless you know that these settings are wrong, DO NOT CHANGE THESE. If these settings are wrong, please contact our Technical Support department.


Notes Login

Version: All versions.
Handheld: All handhelds.
Contact Manager: Lotus Notes
Default Setting: Password: Blank
Explanation: Your password for Lotus Notes is entered here.


Outlook Address

Version: All versions.
Handheld: All handhelds.
Contact Manager: GoldMine, Outlook
Default Setting: Business.
Explanation: Palm Desktop 4.1 (and prior) and GoldMine only has one area for addresses for each contact. Outlook allows you to have multiple addresses for a contact. It is not possible to synchronize multiple addresses to the Palm or GoldMine. However, on the Outlook Address tab in CompanionLink, you can choose which Outlook address you want on your handheld. This tab has three options that allow you to select the Business, Home or Mailing address. The recommended setting for this tab is Mailing Address. This will synchronize the default address from Outlook, regardless of whether this is a business or home address.


Outlook Folders

Version: All versions.
Handheld: BlackBerry, Outlook, Palm
Contact Manager: Outlook
Default Setting: Default local folder; no subfolders.
Explanation: This tab allows you to select any folder which is accessible in your Outlook, including folders on an Exchange server. It has selections for each area of Outlook. To change the folder selected for a given area, click on the dropdown menu next to the area (such as Contacts) and select the correct folder. If you do not click on this tab, the default local folders in Outlook will be synchronized.

Note: If you click on this tab, you must wait for it to load the Outlook folders. If you are on an Exchange folder, this can take a long time. Do NOT click Cancel or close CompanionLink during this process. If you do, you will receive an error message each time thereafter that you try to configure or synchronize with CompanionLink. Please see our Errors page for help fixing this problem if you receive an error.


Palm Phone

Version: All versions.
Handheld: Palm
Contact Manager: ACT!, GoldMine
Default Setting: No default.
Explanation: The Palm Phone tab allows you to choose which contact manager fields you want to synchronize with which phone fields from the handheld. Please see Configuring the Palm Phone tab for more details.


Personal Category

Version: All versions.
Handheld: All handhelds.
Contact Manager: ACT!, GoldMine, Lotus Notes, Outlook, Outlook Express
Default Setting: Include Personal Category
Explanation: This tab allows you to keep records categorized as Personal from synchronizing. The records may be categorized as Personal in the handheld or the contact manager. Some reasons why records may still transfer when 'Exclude Personal Category' has been selected are listed below.
  • Marking a record as Private, instead of categorizing it as Personal. Records marked as private are not automatically considered to be personal. You must categorize the record as Personal as well.
  • The Personal category must be called 'Personal'. This tab only allows you to exclude this category. It would not exclude records in a category called 'Personel', 'Personal Category' or 'Personal -- Family'.
  • Multiple category selection. CompanionLink can only see the first category selected for a record. However, Outlook allows you to select multiple categories for the same contact. If your Personal records also have other categories in addition to Personal, then this can cause the records to synchronize anyway.
Note: This ability was added for the Windows Mobile direct sync in CompanionLink 2.0, build 2591. Previous versions of CompanionLink will synchronize all records, including those in the Personal category.


Phone Fields

Version: CompanionLink Express
Handheld: BlackBerry, Outlook, Windows Mobile direct, Windows Mobile through Outlook
Contact Manager: ACT!, GoldMine
Default Setting: No default.
Explanation: This tab allows CompanionLink Express users to choose which fields from their contact manager they would like transferred to their handheld. The six Outlook/Pocket Outlook fields listed here are the only fields which you can map. These cannot be changed. The fields on the right in the dropdown menus are the fields from your database, which can be changed.

NOTE: The Other field does NOT appear on the handheld.


Phone Labels

Version: All versions.
Handheld: Palm
Contact Manager: Lotus Notes, Outlook Express
Default Setting: No default.
Explanation: For these contact managers, you may select which Palm phone fields will be used and which order they will be used in. The matching field from your contact manager (if any) will be synchronized with your handheld.


Primary Database

Contact Manager: All contact managers.
Default Setting: Contact manager is the master, records deleted in the handheld will be ignored.
Explanation: This tab controls the transfer method for deletions. It does not apply to additions or changes, which are controlled by the Transfer Method tab. By default, records deleted or completed on the contact manager will be deleted from the handheld when you synchronize. You can choose to allow deletions only from the contact manager, only from the handheld, or from both the contact manager and the handheld.


Purge and Reload

Version: All versions.
Handheld: All handhelds.
Contact Manager: ACT!, GoldMine, Lotus Notes, Outlook, Outlook Express
Default Setting: Unchecked
Explanation:The Purge And Reload option is a tab in CompanionLink Setup. What this feature does is to delete all of the data from the handheld in the selected area(s) and replace it from your contact manager. No data is deleted from your contact manager. You may do this to all areas of the handheld, or only to certain areas, such as only your contacts.

If you are synching for the first time, have changed computers, or uninstalled and reinstalled CompanionLink, you need to do this. This is typically done in these situations in order to prevent duplications. On a first sync, by default, all of your data from the handheld will synchronize into your contact manager and vice versa. If you have similar data in both places, the data will be duplicated. If you have used another synchronization program, or have uninstalled and reinstalled CompanionLink, or are changing computers, you are strongly urged to do this.

This may also be done to remove corrupt or duplicate data from the handheld, or to make sure that current data is being sent to the handheld.

Note: Categories EXCLUDED from synchronization will NOT be affected by the Purge And Reload process.


Secondary Contacts

Version: CompanionLink Professional
Handheld: All handhelds.
Contact Manager: Act
Default Setting: Unchecked
Explanation: This tab allows CompanionLink Professional users to choose to synchronize the secondary contacts from Act. By default, these do not synchronize. If this option is selected, all of the contacts from the Contacts tab will synchronize to the handheld as new records with an asterisk after the last name. This asterisk indicates that these are additional rather than primary contacts. They will synchronize as new records and do not contain a link to the primary contact from Act.

NOTE: If you uninstall CompanionLink or install CompanionLink on a new computer or otherwise cause CompanionLink to lose its .dat files that contain its record of what it has synched, CompanionLink will not know that these are secondary contacts. By default, these would sync back into Act as new records. We recommend doing a purge and reload instead in these situations.


To Do Map

Version: CompanionLink Professional
Handheld: All handhelds.
Contact Manager: ACT!, Goldmine
Default Setting: ACT!: Todos
GoldMine: Todos
Explanation: This tab allows CompanionLink Professional users to select which activities from their contact manager will sync to the Todo List/Tasks area of the handheld.
  • Checking an activity type here and unchecking it on the Datebook tab will result in the activity transferring to the Todo List/Tasks area of the handheld.
  • Unchecking an activity type here and checking it on the Datebook tab will result in the activity transferring to the Datebook/Calendar area of the handheld.
  • Unchecking an activity type on both the Datebook Map and the Todo Map tab will result in the activity type not transferring at all.
  • You cannot check an activity on the both the Datebook Map and Todo Map tabs. Doing so will result in no data transferring for the Datebook/Calendar or the Todo List/Tasks areas of the handheld.

Transfer Method

Version: All versions.
Handheld: All handhelds.
Contact Manager: ACT!, GoldMine, Lotus Notes, Outlook, Outlook Express
Default Setting: Synchronize changes both ways
Explanation: The tab controls the direction your data transfers. It does not apply to deletions or completions, which are controlled by the Master Database tab. Selecting a transfer method of 'Add PC data to the handheld' or 'Add handheld data to the PC' adds the data from the one into the other. It does NOT overwrite the data.


User ID

Version: All versions.
Handheld: All handhelds.
Contact Manager: ACT!, GoldMine
Default Setting: ACT!: Attribute new records from ACT! to the ACT! user; synchronize records for all users.
GoldMine: the user ID from the Executable tab
Explanation: The User ID tab selects which calendars from the contact manager will be synchronized to the handheld. Selecting your user ID will transfer just your calendar to the handheld. Selecting All Users will send the calendars for every user listed to your handheld. Since CompanionLink transfers every pending or uncompleted activity regardless of date, this may result in a very large amount of data being sent to your handheld's calendar area. In most cases, selecting your own user name is the best option.
