How to use DejaOffice PC CRM for David Allen's GTD (Getting Things Done)

DejaOffice PC CRM Express (and Pro) offers a CRM Style for use with the Getting Things Done (GTD) methodology. Using this CRM style adds Projects (Contact Type) that can be assigned events and tasks for easy tracking. The Weekly Calendar combines events and Tasks for a quick view of your upcoming schedule. Getting Things Done (GTD) CRM Style

To set DejaOffice PC CRM to the Getting Things Done (GTD) CRM Style with a new install:

  1. Install the latest version of DejaOffice PC CRM Express (see the bottom of this guide for details).
  2. Open DejaOffice PC CRM, select Next on the first Setup Wizard screen and choose Getting Things Done (GTD) in the CRM Styles drop down.
  3. Follow the remaining prompts in the Setup Wizard to complete.
  • Note: Setting up Sync can be done at a later time, you can leave the "Source" and "Mobile Phone or Tablet" options on "None" for now.

To set the CRM Style on an existing DejaOffice PC CRM Express (or higher) install:

  1. Open DejaOffice PC CRM.
  2. Select Setting and choose General Settings.
  3. Select the CRM Style Getting Things Done (GTD).


Creating Projects

Projects are enabled in the Getting Things Done (GTD) CRM Style by default. Projects allow you to create Contact records without a Name Field. Once created you can Link Events, Tasks, Notes and History records to a Project (just like with Contacts).

Create a Project

  1. Ensure the CRM style is set to Getting Things Done (GTD). You can also manually enable Projects in the Contact Settings options.
  2. On the left side of DejaOffice PC CRM Select Projects.
  3. Click + in the top left to create a new project.


Projects have all the same fields as contacts. You can add Notes, Addresses, Phone Numbers and Custom fields.

Creating Categories

Categories in DejaOffice PC CRM can be assigned to any data type. Creating categories can offer quick filtering for Projects, Contacts, Events, Notes and Tasks. To create categories:

  1. Open DejaOffice PC CRM and select Categories.
  2. Click the + in the top left, add Category Name, select a Color and click Ok.


Assigning Categories to Records:
Once you have your category list ready, in any data type (Contacts, Calendar, Tasks, etc), from the record the Edit Panel choose the Category field. Records can have multiple categories.

  • Note: You can also Right Click a record and choose Add Category.

Category Filters:
To filter records by category, open the Data Type of your choice (IE Contacts), select the 3 bars in the top right (or choose the Category Filter icon in the top tool bar) and select the Category/Categories you want to filter by. All records except ones within the selected Category/Categories will be filtered out.

Assigning Tasks and Events to Projects

After creating a Project (or a Contact) you can link these records to Events, Tasks, or Memos. You can add links either via the Record Edit Panel or directly from the Project using the Next Action Panel.

Assign Projects to Events/Tasks using Next Action Panel:

  1. Create a new Project using the steps from the above section.
  2. Select the record in the Projects conduit so you can see the Details of the Project on the right.
  3. Under the Next Actions header, select the icon for the Record Type you want to link to the Project (Event, Call, or Task).


This will open an Edit Panel with the Project (and its Category if it has one) already linked to the event. Add a Subject, Set a Time/Date and Save.

Assign Projects to Records using the Edit Panel:

  1. Create a new Project using the steps from the above section.
  2. Open the Data Type for the new record you want to create (Tasks, Events, Memos) and click the + to create a new record.
  3. Select the Add Projects option in the Edit Panel and select the Project you want to assign.


Next Actions Panel

When selecting a Project (or a Contact) record in DejaOffice PC CRM that has assigned Events or Tasks, in the Project (or Contact) Detail Panel upcoming Events and Tasks assigned to this project will appear under the Next Actions Panel. To change the number of records displaying for a Project (or Contact):

  1. Open DejaOffice PC CRM, select Settings and select Contact Settings.
  2. Set the Dropdown for "Events to Show in Next Action Panel" to the desired number. This setting decides how many "Future" Events/Tasks are displayed under the Next Actions for the selected Project (or Contact).
  3. Set the Dropdown for "Past Events to Show in Next Action Panel" to the desired number. This setting decides how many "Past" Events/Tasks are displayed under the Next Actions for the selected Project (or Contact).
  • Note: You can also disable the Next Actions panel in the Contact Settings by unchecking the "Use Next Action Panel" option.


Using the Weekly Planner

DejaOffice PC CRM offers a Weekly Planner Calendar with Tasks included in the same view.

  1. Open DejaOffice PC CRM.
  2. Select "Weekly Planner".
