Remove duplicates from Act

ACT! 2005 or higher

  1. Go to the Lookup menu.
  2. Choose By Example.
  3. Go to Advanced
  4. Find the field, Create Date.
  5. Put in the date of the sync. For example, 4/23/07.
  6. Click on the Search button.
  7. A box will prompt you to select a query option. Select 'Replace lookup'.
  8. The contact list will now display those contacts that match the query terms. Delete contact records from this date that are already included in your ACT database.


ACT! activities: You can select multiple activities by holding down the CONTROL button and clicking on the items you want to erase. Once you have them selected, right-click the items and choose Clear Multiple Activities. From the next window, select Erase, and choose OK.

ACT! 3.0 to 6.0

Below are some instructions for removing duplication for ACT! 3.0 to 6.0, including ACT! 2000. Before doing any major changes to your database, please first create a new backup of your database.

To remove duplicate contacts: Use an ACT! query to select all the contacts added the day the duplicates were created, then delete these.

  1. Go to the Lookup menu.
  2. Choose By Example.
  3. Find the field, Create Date.
  4. Put in the date of the sync. For example, 4/23/07.
  5. Click on the File menu.
  6. Choose Save.
  7. Click on the Query menu.
  8. Choose Run.
  9. The contact list will now display those contacts that match the query terms. Delete all the items in the contact list. This will remove all the entries created on the day of the sync.

To remove duplicate activities:

  1. Go to the Task List.
  2. Make sure all types, priorities, dates, and cleared records are displayed.
  3. Click on the Date column to sort.
  4. Delete the duplicate records.

NOTE: Make sure to choose Erase, not Clear.
